Sub: Tender for Hoarding Sites of Auto Ancillary Show, Pune
India Trade Promotion Organisation, a Govt. of India is organizing the 2nd edition of Auto Ancillary Show at Pune. ITPO is looking for a competent and suitable agency to promote the Show by putting up hoardings at vantage points in and around Pune not only for mobilizing participation by Indian companies in the Show but also attracting business visitors.
Bids in two-packet system (technical and financial) in the attached formats are invited from interested and authorized agencies in the field for putting up hoardings at authorized/legal locations in and around Pune.
1. The locations for putting up the hoardings must have high visibility like traffic intersections on prominent routes, shopping malls, movie theatres, bus stands, railway station etc.,
2. ITPO would be providing the art work for the hoardings and the appointed agency would prepare the hoardings and put up at the locations,
3. The dimensions of the hoardings should be 40 X 20 ft, 60 X 20 ft, 80 X 40 ft. If unavoidable, a variation of 15 – 20% would be acceptable. Payments, however, would be released for the actual dimensions of the hoardings,
4. The hoardings design will need to be changed periodically,
5. In case of damage to the hoarding(s) by storm, rain, sabotage etc., the agency would immediately replace the same at no extra cost to ITPO,
6. The appointed agency would be responsible for obtaining necessary clearances from local municipal and other authorities and would provide certificates to these effects to ITPO,
7. The appointed agency would arrange visit of ITPO officials to the hoarding sites for verification.
Payment terms:
Interested companies may quote their competitive prices in the tender form which may be downloaded from our website www.indiatradefair.com and sent to the following address along with bank draft for Rs. 10,000 (Rupees ten thousand only) towards security deposit favouring India Trade Promotion Organisation payable at Delhi/New Delhi latest by 3.00 p.m. on August 27th, 2013.
Bidders are requested to submit the following to qualify in the Technical Bid:i) Self-certified copy of the certificate of incorporation/ registration of the company
ii) Self-certified copy(ies) of Registration certificate/licence/authorisation letter, issued by concerned authorities (to ensure compliance of local laws) for executing the hoarding job.
iii) Self-certified copies of VAT/TIN and Service Tax registration certificates.
iv) Earnest money deposit of Rs. 10,000/- in the form of bank/demand draft favouring India Trade Promotion Organisation, New Delhi
v) Self-certified copies of job orders for related jobs from Central/State Govt. organizations issued to the bidding company during the last one year are also desirable.
(2) Technical and Financial bids contained in separate envelopes and “Technical/Financial Bid for Hoarding Sites – AAS, Pune†written on the envelope should contain the unit price, total price and the tax amount in respect of each deliverable. The percentage of tax applicable on the items should also be mentioned.
(3) Rates quoted in the Financial Bid should be valid at least for 45 days from the last date for submission of bids.
(4) Clarifications, if any, may be sought on or before August 26, 2013 between 10.30 am and 05.00 pm.
(5) ITPO reserves the right to reject any or all bids without assigning any reason.
(6) Bids must reach latest by August 27th, 2013 (upto 03.00 pm) to:
